Terms of service

The agreement
These terms are between you and [YOUR COMPANY NAME LTD], [YOUR REGISTERED ADDRESS] ("we", "us"). By creating an account or using BuildFlow you accept them.
If you are accepting on behalf of a company, you confirm you are entitled to bind it, and "you" means that company.
What we provide
BuildFlow as described on this site and in the documentation: project programmes, tasks, a site diary, photographs, snagging, documents, building-control records, a client view, and — on the plans that include it — the FlowAI assistant.
We may change or add features. Where we remove something you depend on, we will give reasonable notice.
We aim for BuildFlow to be available whenever you need it but we do not offer a contractual uptime guarantee at this stage, and we would rather say so than promise one we have not built the operational cover for.
Accounts and access
You are responsible for what happens under your account, for keeping your password to yourself, and for who you invite and at what role.
One account per person. Shared logins defeat the audit trail, which is the point of much of the product.
You must tell us promptly if you believe an account has been compromised.
Your data stays yours
Everything you put into BuildFlow remains yours. We claim no ownership of your projects, documents, photographs or records.
You grant us the licence needed to run the service — to store, process, transmit and display that content to the people you have given access to, and to back it up.
We do not use your project content to train AI models and we do not sell it. Where an AI feature is used, only what is needed to answer that request is sent to the model provider.
You can export at any time: documents and photographs download as the files you uploaded, and the handover pack gathers a project into a single PDF. Ask us if you need a fuller export.
What you must not do
- Upload anything unlawful, or anything you do not have the right to upload
- Use BuildFlow to store special-category personal data it is not designed for — health records, for instance
- Attempt to access another company's or another project's data
- Probe, scan or load-test the service without asking us first — ask, and we will usually say yes
- Resell or white-label the service other than under a Bespoke arrangement
We may suspend an account that is doing any of the above, and will tell you why.
Plans, limits and payment
Plan limits are enforced in the database on insert. Being at a limit stops you adding more; it never affects what you already have.
Dropping to a smaller plan never deletes anything.
Card payment is not connected yet. Until it is, plan changes are arranged with us directly. When billing goes live, we will give you at least 30 days' notice of the terms before charging anything.
AI usage runs to a monthly budget set on your account, and the assistant stops rather than exceeding it.
FlowAI
The assistant answers from your project data and can be wrong. Every reply says so. It is a way to avoid looking something up, not a source of truth — check anything you would act on.
It never makes a change without you confirming it, and it runs on your own permissions rather than elevated ones.
It does not give structural, legal or building-regulations advice, and you must not treat it as though it does. Those remain matters for you and the relevant professional.
Professional responsibility
BuildFlow records and organises the work; it does not do it. You remain responsible for the construction work itself, for compliance with the Building Regulations and every other legal obligation you are under, for the accuracy of what you record, and for the advice you give your clients.
Nothing in BuildFlow — a template, a generated inspection schedule, a handover pack, or an FlowAI answer — is a substitute for your own professional judgement.
Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, we are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data where you have not kept your own copies of what matters.
Our total liability in any twelve-month period is limited to the amount you paid us in that period, or £100 where you are on the free plan.
This is a business tool sold to businesses. If you are a consumer using it because a builder invited you, your statutory rights are unaffected.
Ending it
You can stop using BuildFlow at any time and ask us to delete your account. Deletion removes project content within 30 days, other than anything we must keep for legal or accounting reasons.
We may end this agreement on 30 days' notice, or immediately for a serious breach. If we end it other than for a breach, we will give you a reasonable period and reasonable help to get your data out.
Clients invited onto a project keep access to that project while the builder's account is live.
Changes
We may update these terms. Where a change materially affects you, we will tell account owners by email or in the app before it takes effect. Continuing to use BuildFlow after that is acceptance.
Law
These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction.
